POTENTIAL TASKS

 

  • Being a first point of contact for enquiries and proactively managing routine matters on own initiative 
  • Managing confidential and personal information appropriately 
  • Screening, monitoring and prioritising of Directors personal and professional emails, telephone calls and other correspondence 
  • Be a point of contact for enquiries for the Directors through various channels, ensuring that all are responded to in a timely manner 
  • Support the preparation of formal presentations 
  • Maintain Director dashboard ensuring data correct and up to date for reporting purposes 
  • Supporting the wider team in accordance with business objectives and advise of any issues arising 
  • Booking and arranging travel and accommodation for the Directors for both business and pleasure 
  • Booking restaurants and personal appointments for the Directors 
  • Tracking and reconciliation of Director’s monthly expenses 
  • Proofreading and formatting of company documents and presentations 
  • Maintaining office systems and processes, including filing 
  • Conducting phone calls for directors to resolve tasks 

SKILLS/EXPERIENCES REQUIRED

 

  • Excellent communication skills, both written and verbal 
  • Excellent organisational skills and the ability to effectively multi-task in a calm and focused 
  • way under pressure, adopting a flexible approach 
  • Ability to consistently produce highly accurate work, in a very busy environment, with the minimum of supervision and a high-level of attention to detail 
  • Ability to work in a self-managed way as well as working well within a team 
  • Excellent telephone manner 
  • Excellent time management across a range of activities 
  • An individual who is hardworking, flexible, reliable, and trustworthy 
  • Ability to learn new tasks quickly and be able to adapt immediately to business requirements 
  • Good computer skills and experience using Google Suite / Microsoft Office on a day-to-day basis as well as web-based applications
