We are seeking a highly organised and detail-oriented Finance Assistant to support the finance department of a growing property management and leasing business. This is a remote position, ideally suited for an individual with strong accounting experience, particularly in Xero, and a keen eye for improving financial systems and processes.

POTENTIAL TASKS
Xero Accounting Management
- Set up, maintain, and optimize Xero for multiple companies, ensuring data accuracy and integrity.
- Generate and analyze monthly P&L and balance sheet reports.
- Manage invoicing, payments, and receipts, ensuring timely and accurate updates in Xero.
- Automate manual processes using Xero’s features or third-party integrations (e.g., Zapier, Google Sheets Add-ons).
Cash Flow Forecasting & Budgeting
- Maintain and update cash flow forecasts, reconciling them with actual transactions.
- Create and manage dynamic cash flow reports linked to Xero for accurate forecasting.
- Perform regular cash flow reviews and recommend adjustments as needed to maintain financial stability
Bookkeeping & Financial Reporting
- Manage bookkeeping for the company’s multiple entities, ensuring timely and accurate record-keeping.
- Prepare regular financial reports, including P&L statements and balance sheets.
- Reconcile accounts regularly and handle monthly reporting.
System Integration & Process Optimization
- Integrate financial data across systems (e.g., Google Sheets, Xero, commission sheets) to ensure seamless data flow and reduce manual data entry.
- Identify areas for improvement within the current financial processes and implement solutions to automate and optimize workflows.
Expense Management & Reporting
- Manage the recording and approval of business expenses, ensuring accurate categorization in Xero.
- Set up and monitor approval workflows to control unnecessary spending.
Client & Contract Management
- Oversee invoicing and payment processes for external clients, landlords, and contractors.
- Track and manage commission structures and ensure accurate and timely payments.
SKILLS/EXPERIENCES REQUIRED
- Proven experience in bookkeeping and accounting, preferably with property management experience (not essential).
- Proficiency in Xero accounting software and integrations with third-party tools (e.g., Zapier).
- Strong understanding of cash flow management and financial forecasting.
- Ability to automate processes and streamline workflows to improve efficiency.
- Detail-oriented with strong analytical and problem-solving skills.
- Ability to work independently and manage multiple tasks efficiently in a remote environment.
- Strong communication skills and ability to collaborate effectively with team members.
- Fluent in English, with excellent written and verbal communication skills.
Desirable Skills
- Experience with property management financials, such as Rent-to-Rent and Management Agreements.
- Knowledge of financial reporting and forecasting systems outside of Xero, such as Google Data Studio or Power BI.
- Familiarity with expense management systems and creating expense approval workflows.
